Traditionally title companies complete some of the tasks required before closing, while leaving many to the agent, such as scheduling inspections, following up with lenders, general navigation of the terms and deadlines of the contract, and many more.
‘Total Settlement Services’ goes above and beyond the traditional title experience, covering the tasks usually left to you or your transaction coordinator.
How do we do it?
Our transaction coordinator assists you by tracking all the tasks that need to be completed for closing, assisting you with administrative efforts, and communicating consistently with you other agents, lenders and our escrow team. Meanwhile, our veteran title and escrow team handles all the traditional work that a title company offers.

About Our Transaction Coordinator
Joanne Poesch serves as transaction coordinator for National Settlement Services. She brings over 10 years of transaction coordination experience with over 1000 deals coordinated. She is a licensed broker in Virginia. Her experience provides her a depth of knowledge and an excellent intuition to ensure every transaction is handled expertly.

What are your Total Settlement Services?
Our escrow team prepares your closing as you are accustomed too. In addition you have a dedicated transaction coordinator that handles the vast majority of the administrative work related to your closing. She has direct communication with you throughout the closing process. A full list of the services provided is below.
How does it work?
Simple, when you close with us, you get Total Settlement Services included. From contract to close, our transaction coordinator will help in the way any other third party transaction coordinator would, to help ensure your deal closes smoothly and no details are missed.
How do I get started?
Once we receive a ratified contract you will have the option of using these services regardless if you are the listing or selling agent. On your first contract, our TC will have a quick phone call to learn how you work and if you have any specific requests. After that, she will help manage any contract you have with us.
How much does it cost?
This is a service we include in the course of each closing to ensure it is as smooth and easy as possible for all parties. There is no additional cost.
Do I need to be the referring agent to receive this service?
No. Any agent that has business with National Settlement Services can use our Total Settlement Services.
What is Included?
Below is a full list of tasks our transaction services assist with for both buyer and seller’s agents.
Buyer's Agent Services
-Review the contract for completion/accuracy and alert the agent of anything that is missing
-Send a copy of the ratified contract and all addenda to the Title Company, Lender, Cooperating Agent and clients
-Confirm delivery of the EMD and be sure all parties receive a copy of the check or wire receipt
-Follow up on loan application and ensure completion
-Assist with scheduling Home, Radon, Well, Septic, Termite, and any other negotiated inspections upon request
-Complete the Agent Information Sheet from the Title Company upon request
-Order the Home Warranty upon request
-Stay in contact with the Lender to ensure the appraisal is ordered, in/through underwriting, and that the loan is staying on track per the contract deadlines
-Track all contingency deadlines and remind parties, as necessary
-Ensure addenda are completed and assist with preparation
-Obtain signatures and initials on necessary documents as approved by agent
-Follow up on addenda throughout transaction and deliver addenda to all necessary parties (title, lender, cooperating agent, delivery addresses, etc)
-Obtain Utility Information and send this information to buyers and/or remind sellers to transfer utilities out of their names when appropriate (after settlement or after a rent back)
-Obtain a copy of the ALTA/CD for the agent to review and approve
-Confirm that the CD is sent to and acknowledged by the buyers at least 3 days before settlement
-Schedule the Walk Through
-Schedule Settlement
-Send all contract documents along with the executed Settlement Statement to brokerage after settlement
-Ask client for post-closing review on behalf of the agents upon request
Listing Agent Services
For Seller’s Agents, our transaction coordination services begin after we receive the ratified contract. Services include:
-Review the contract for completion/accuracy and alert the agent of anything that is missing
-Send a copy of the ratified contract and all addenda to the Title Company, Cooperating Agent and clients
-Confirm delivery of the EMD and be sure all parties receive a copy of the check or wire receipt
-Follow up with Buyer’s agent on status of buyers loan application and ensure completion by deadline
-Assist in coordinating all scheduled inspections with Sellers/Occupants of home
-Assist in scheduling repairs & collecting receipts
-Complete the Agent Information Sheet from the Title Company upon request
-Obtain pest report and send to Title Company
-Follow up with the Buyer’s agent to ensure the appraisal is ordered and scheduled
-Follow up with Buyer’s agent to receive loan commitment/approval per the contract deadlines
-Track all contingency deadlines and remind parties, as necessary
-Follow up on addenda throughout transaction and deliver addenda to all necessary parties (title, lender, cooperating agent, delivery addresses, etc)
-Obtain Utility Information and remind sellers to transfer utilities out of their names when appropriate (after settlement or after a rent back)
-Obtain a copy of the ALTA/CD for the agent to review and approve
-Confirm that the CD is sent to and acknowledged by the sellers
-Schedule the Walk Through
-Schedule Settlement
-Send all contract documents along with the executed Settlement Statement to brokerage after settlement
-Order sign removal/lockbox removal after closing
-Request review for agent from client, if applicable
